Data Security

  • In addition to regular updates, security patches, and up-to-date antivirus software, Eyefinity has also achieved certifications like SOC 2 Type II and EHNAC, adhering to stringent HIPAA data protection standards.

  • SOC 2 Type II certification is an annual third-party evaluation of more than 150 cybersecurity controls, ensuring thorough, proactive data protection for practices using Eyefinity’s cloud-based practice management software. As of this writing, we are the only optometric software on the market with this certification.

  • We’ve earned accreditations from the Electronic Healthcare Network Accreditation Commission (EHNAC) since 2004. This rigorous evaluation proves that we hold our electronic health records platforms to high standards of data protection aligned with HIPAA regulations.

Onboarding and Training

  • Your dedicated Eyefinity Implementation Consultant will provide you with a customized Education Plan for your practice. This plan will have training tracks for each member of your staff, covering all the essential functions for day-to-day business.

  • We offer a blended-learning experience through The Eyefinity Learning Center, with on-demand videos and live sessions with an Eyefinity Solution Educator. Our virtual training empowers you and your staff to be successful when you go live.

  • We have found that, on average, it takes approximately 90 days to onboard. The process includes the following phases:

    1. Discovery and Design
    2. Training
    3. Data Conversion
    4. Transition to Live
    5. Transition to Your Eyefinity Support Team
  • Yes, your Implementation Consultant will be your point of contact throughout your training and onboarding journey.

  • Your Eyefinity Implementation Consultant works with you to make the transition as smooth as possible and ensure the goals you established during project kickoff are achieved. Your onboarding speed is dependent on the amount of time your practice staff can dedicate to completing training and preparation.

  • We recommend 2 – 4 hours of training and exercises weekly by each staff member.

  • You’ll have a Project Manager and Implementation Consultant to guide you through every step of the onboarding process, including:

    • Complete product configuration and integration
    • Weekly consult with your practice on adoption of best practices and business process changes
    • Online blended-learning through Eyefinity Learning Center with both on-demand and live hands-on training sessions
    • Data conversion from your previous software to the Eyefinity software (prior to go-live)
    • Ongoing support upon transition to Eyefinity software with an introduction to your Eyefinity Support Team
  • Yes, compatible data will be converted at the time of your go-live to your new software. The data that is converted will depend on the compatibility of the software we’re transferring it over from. Not all data may come across, but Eyefinity will assess on a case-by-case basis.

  • Eyefinity provides on-demand tutorials, private training, webinars, and conferences such as the Lodge, (which is offered twice a year) to assist you with learning about our products.

Electronic Patient Notifications

  • Electronic Patient Notifications are voice or text messages that can be sent to patients for upcoming scheduled appointments, recalls, and eyewear- ready notifications. When patients confirm their appointment, it is then automatically reflected in your schedule in Eyefinity Encompass.

  • Eyefinity’s Electronic Patient Notifications cost $99 per month for the first practice and $49 per month for each additional location.

  • No. There are no set up fees for this service.

  • Setting your practice up with Electronic Patient Notifications takes anywhere from five to seven business days.

  • The Eyefinity Electronic Patient Notifications service automatically sends text or voice notifications that are directly integrated with your Eyefinity Encompass system. All notifications are sent from a toll-free number that is not your office phone number. If a patient calls the number, the call is automatically forwarded to your office.

  • When you combine Eyefinity’s Electronic Patient Notifications and Eyefinity Encompass, you get a fully integrated patient engagement tool that works hand-in-hand with your eWebExtra website, scheduler, and other order management tools. This allows you to automate reminders, recalls, and eyewear-ready notifications, saving your practice money and time.

  • With Eyefinity’s Electronic Patient Notifications you get unlimited reminders, recalls, and eyewear-ready notifications.

  • You can send text messages via Electronic Patient Notifications to patients with a mobile number recorded in Eyefinity Encompass. Patients without a mobile number will receive a voice phone call at their home number instead of a text message.
