A Crash Course in AI‑Assisted Clinical Documentation: How EncompassScribe by Eyefinity Works

|

Ever finished a workday feeling like you spent more time charting than caring for patients?

If so, you’re not alone. That’s exactly the problem we’re hoping to help solve with EncompassScribe by Eyefinity®, an AI-assisted clinical tool built right into Eyefinity Encompass®.

Getting used to new technology in a practice takes time, so here’s an overview of how EncompassScribe works, how it fits into optometric workflows, and where to take a deeper dive when you’re ready for more.

Step 1: Capture the Conversation

EncompassScribe starts with something you already do every day: talking with your patients.

In a single recording during the visit, EncompassScribe captures the natural conversation between you and your patient, whether you’re narrating findings out loud like you would to a traditional scribe or simply having an organic discussion during the exam. EncompassScribe is trained to ignore small talk—meaning you can still connect with patients on a personal level, without the extra chatter being pulled into your visit notes.

You’re in the driver’s seat with EncompassScribe. You control when the recording starts, pauses, and stops. EncompassScribe only records when you explicitly activate it.

You can also choose to record and reconcile how you wish; record with your iPad or iPhone, then reconcile the data with your iPad or desktop.

Step 2: Transcribe, Then Transform

Once the visit is recorded and saved, EncompassScribe transcribes the conversation. But it goes way beyond simple speech‑to‑text, converting recorded text into actionable clinical information.

Based on the transcript, EncompassScribe identifies relevant information from the visit and organizes it into structured data in the same way you’d document an exam manually. It includes recommended billing codes and data that you might report for programs like MIPS. You can also take the structured data and copy it forward for future visits with patients, saving you time now and in the future.

Step 3: You Review and Approve

After clinical data is pulled into your notes, this is where human oversight is essential—and required. EncompassScribe will never make clinical decisions for you. It suggests documentation, but you stay in control.

After each visit (or later in the day, if that fits your workflow better), you review the suggested documentation. You can edit, refine, and approve what makes sense before anything is saved. Nothing is imported until you say so.

Think of EncompassScribe as an extremely efficient assistant that prepares the work but never signs off without you.

The Big Picture

EncompassScribe isn’t just about faster charting. It’s about turning everyday conversations into useful clinical data that supports care and practice workflows, ultimately freeing you up for more meaningful interactions with patients.
